The Head of Regional Office Administration is responsible for overseeing the administrative and operational functions of the regional offices. This role provides leadership in office administration, budgeting, personnel support, vendor management, compliance, and internal coordination.

The position serves as a key link between the regional offices and headquarters, ensuring that administrative policies and business processes are implemented effectively and that the regional office operates efficiently, professionally, and in accordance with company standards.

 

Key Responsibilities

· Lead and oversee all administrative operations of the Americas regional offices.

· Develop and implement administrative procedures, processes, and office standards.

· Manage, supervise, and develop regional administrative and support staff.

· Coordinate closely with regional leadership and headquarters on administrative and operational matters.

· Oversee office supplies and vendor relationships.

· Prepare and manage the regional offices’ administrative budget and monitor expenditure.

· Review and approve administrative expenses, purchase requests, invoices, and expense reports in accordance with company policies.

· Coordinate regional meetings, business events, travel arrangements, and other office activities.

· Maintain accurate and confidential company, employee, financial, and administrative records.

· Ensure compliance with company policies, procedures, internal controls, and applicable regulations.

· Establish effective communication and coordination between the regional offices and corporate departments such as HR, Finance, IT, Legal, and Operations.

· Monitor administrative performance and identify opportunities to improve efficiency and reduce costs.

· Prepare management reports, administrative updates, budgets, and operational analysis for regional and corporate leadership.

· Support business continuity, risk management, and emergency preparedness for the regional office.

· Lead or participate in regional projects and special initiatives as assigned.

· Perform other duties and responsibilities as required by regional or corporate management.

Leadership Responsibilities

· Provide direction, coaching, and performance management to administrative staff.

· Establish clear goals, priorities, and performance expectations for the administrative team.

· Allocate resources effectively to support regional business needs.

· Promote a professional, collaborative, and service-oriented office environment.

· Serve as the primary administrative point of contact for regional management.

Minimum Qualifications

· Bachelor's degree in Business Administration, Management, Office Administration, Operations, or a related field.

· 7+ years of progressive experience in office administration, business operations, facilities, or related functions.

· At least 3 years of experience in a supervisory or management role.

· Experience managing administrative teams and regional or branch-office operations.

· Strong knowledge of budgeting, expense management, purchasing, vendor management, and office operations.

· Strong understanding of administrative policies, procedures, and internal controls.

· Excellent leadership, communication, organizational, and problem-solving skills.

· Strong proficiency in Microsoft Office Suite, particularly Excel, Word, PowerPoint, and Outlook.

· Ability to manage multiple priorities and work effectively in a fast-paced environment.

· Strong judgment, attention to detail, and ability to handle confidential information.

· Ability to work effectively with senior management, employees, vendors, and corporate departments.

· Strong English communication skills, both written and verbal.

Preferred Qualifications

· Experience managing a regional, branch, or multi-location office.

· Experience working in a multinational or corporate environment.

· Knowledge of employment, workplace, health and safety, or other applicable regulations.

· Experience managing office budgets and cost-control initiatives.

· Project management experience.

· Additional language skills relevant to the region or organization.
